  • ·The Part-Time Workplace Operations Specialist will oversee the day-to-day operations of a busy office, ensuring employees, guests, and vendors have a seamless workplace experience. This role combines office administration, facilities coordination, event support, vendor management, and employee onboarding while serving as a key point of contact for workplace operations.
  • ·Key Responsibilities:
  • ·Welcome visitors, coordinate guest check-in procedures, and ensure meeting attendees have a positive office experience.
  • ·Manage conference room scheduling, catering coordination, meeting setup, and basic audio/visual support.
  • ·Handle incoming and outgoing mail, package distribution, shipping requests, and courier coordination.
  • ·Maintain inventory of office, kitchen, restroom, and technology supplies while ensuring shared office spaces remain fully stocked and organized.
  • ·Coordinate building maintenance requests, vendor services, preventative maintenance, and communication with property management.
  • ·Support company meetings, employee events, team celebrations, and workplace engagement activities.
  • ·Assist with new hire onboarding by coordinating workspace setup, orientation logistics, office access, and related administrative tasks.
  • ·Process invoices, maintain workplace records, and support office-wide communications through Microsoft Teams.
  • ·Partner with Workplace Operations and Human Resources on administrative projects and day-to-day operational needs.
  • ·Provide general office support to ensure a professional, organized, and efficient workplace environment.
  • ·Qualifications:
  • ·Bachelor's degree preferred.
  • ·2+ years of experience in office administration, workplace operations, facilities coordination, reception, or a related office support role.
  • ·Experience as an Office Coordinator, Workplace Coordinator, Facilities Coordinator, Administrative Coordinator, or similar position.
  • ·Previous nonprofit experience is a plus.
  • ·Proficiency with Microsoft Office Suite, including Microsoft Teams and SharePoint.
  • ·Strong organizational skills with exceptional attention to detail.
  • ·Excellent verbal and written communication skills.
  • ·Professional, dependable, and service-oriented with the ability to manage multiple priorities.
  • ·Comfortable working independently while collaborating with employees, vendors, and leadership.
