Hours: 10 to 20 hours per week to start

Location: Remote, US preferred. Central Time strongly preferred. OKC region is a plus.

About the role

We are looking for a fractional Executive Assistant focused on founder operations to support a fast-moving founder working across multiple companies in AI, trading, software, and startup operations. This is not a traditional corporate assistant role.

This role is for someone who is highly organized, calm under pressure, comfortable with ambiguity, and able to reduce chaos without creating more of it. You should be the kind of person who can take a rough instruction, create structure, move things forward, and only escalate when it actually matters.

You will help manage the founder’s calendar, inbox, follow ups, meeting prep, internal coordination, light research, and execution support across multiple companies. The right person is detail oriented, low ego, highly responsive, discreet, and able to operate with minimal hand holding.

Responsibilities

• Manage a complex calendar across multiple companies, priorities, and stakeholders

• Triage inboxes and messages, flag what matters, and draft responses where appropriate

• Coordinate meetings, calls, and scheduling with internal and external parties

• Prepare agendas, notes, summaries, and follow up action items

• Track open loops, deliverables, deadlines, and pending decisions

• Organize tasks and priorities across founders, executives, advisors, and contractors

• Support hiring, onboarding, document collection, and operational follow through

• Conduct light research and present findings in a concise, decision ready format

• Help build and maintain simple systems in tools like Notion, Google Workspace, Slack, Claude, (another personal AI) and task managers

• Ensure important items do not get lost across multiple ventures and moving parts

• Batch communication where possible and protect the founder’s focus

What we are looking forMust have

• Experience supporting a founder, executive, operator, or startup leadership team

• Strong written and verbal communication

• Excellent judgment on urgency, discretion, and prioritization

• Ability to work with incomplete information and still move things forward

• Strong organizational skills with a high attention to detail

• Comfort operating in a fast changing startup environment

• Ability to handle confidential information with professionalism

• Strong follow through and the ability to close loops without repeated reminders

• Proficiency with Google Workspace, Slack, calendar management, and modern productivity tools

Strongly preferred

• Experience in startups, venture backed companies, agencies, trading, fintech, SaaS, or AI environments

• Comfort supporting work across more than one company or business unit

• Familiarity with Notion, project tracking tools, Loom, ChatGPT, or workflow automation tools

• Ability to draft clean documents, summaries, and internal communications

• Based in the US, or able to work closely in Central Time
